Training Course Registration Procedures 2012
The Training Unit (TU) for the Bureau of HIV/STD & Viral Hepatitis Prevention is in the process of developing an electronic process that will streamline the Training Program and its procedures for registering, evaluating, and obtaining certificates for training courses. Until this process is implemented adherence with the following procedures is crucial for obtaining a certificate of completion for all registered training sessions.
Training Calendar
The Training Calendar will continue to include dates, times and location for training listed on the Calendar. The trainings offered will include those required by Contractor Staff, Capacity Building courses, and career development courses that should be taken on an ongoing basis to enhance one’s professional experience working in the HIV/AIDS/STDs arena. The TU also plans to collaborate with other agencies that offer prevention course trainings and capacity building opportunities such as AIDS Project Los Angeles (APLA), Shared Action, National Network of STD/HIV Prevention Training Centers, and EffectiveInterventions.org to offer a variety of training courses. In addition, the Calendar will include meeting dates for each of the HDHHS Task Forces and the Community Planning Group (soon will be known as Prevention Planning Group).

January – June 2012 Training Calendar
Registration
Register for training courses using the Registration Form found on the Bureau’s webpage under the Training tab, or just click on the title of this section. Complete and submit the Registration Form by fax 832.393.5236 or via email to hivstdvhtraining@houstontx.gov. Registration must be submitted within three business days prior to the date of the training course. The Training Unit will no longer accept walk-ins for any training session. The TU expends a significant amount of time and effort planning and preparing for each training session based on the number of individuals who registered. Training sessions are delayed when individuals who have not registered walk-in. To prevent this occurrence the TU will not accommodate individuals who choose not to register in a timely fashion. Please respect our time and register in a timely manner. Again, the Training Unit must receive completed registration forms 72 hours (not including weekends) prior to the training course date. Upon completion of registration, Registrants will receive a Registration Confirmation that outlines the training course, time, date, location, information about the course, and course objectives. Registrants are asked to bring this confirmation to the training course they registered for.
Arriving Late to Training Session
Each training session has a start time and an end time. It is imperative that each training session begin at the specified time to ensure coverage of all training materials. Training session times are listed on the Training Calendar found on the Bureau’s webpage and outlined on the Registration Confirmation Registrants will receive. Individuals arriving 16 minutes after session initiation by the trainer/facilitator will be considered as “late” or “no show” and turned away and will need to register for the next available training course. No exceptions,
excluding inclement weather (unpleasant weather which is stormy, rainy, or snowy) conditions. Registrants should notify the Training Unit Staff of any cancellations at least 24 hours prior to the training course date, if possible. A “no show” is reported to Compliance/Quality Assurance.
Evaluation
Towards the end of each training course session, Registrants will be asked to complete a short evaluation on the training course they just completed. Note: Registrants must complete the evaluation form for the respective training course to obtain a Certificate of Completion/Attendance.
Certification of Completion/Attendance
Upon completion of the evaluation form, and once the Facilitator has dismissed the classroom, Registrants will receive their Certificate of Completion/Attendance for the respective training course completed.
The Training Unit believes the change in procedures will provide a more effective Training Program. Please direct any questions or concerns you may have regarding this process to hivstdvhtraining@houstontx.gov. Your questions or concerns will be responded to as promptly as possible.
