SPAM POLICY

Downtown SkyscraperThe City of Houston's email system is not immune from the receipt of electronic junk mail (a.k.a Spam). Having to erase or otherwise deal with such messages interferes with the legitimate public business activities of our officers and employees. Like many other email users, both public and private, the City utilizes filtering software in an effort to reduce the volume of junk email that is received at the workplace computers of its officers and employees.

The filtering software utilizes a number of reliable but not foolproof techniques, including the interception of email having a source or routing that has been attributed to known junk mail message sources and the interception of email having word message contents that have frequently been found in junk email messages. It is not the intent of the filtering to interfere with the City's public business activities or to prevent the submission of legitimate constituent messages to City offices. Notwithstanding the level of sophistication employed, it is possible that a legitimate public business communication may be misidentified by the software as junk email. Senders will be notified regarding messages that are quarantined and not delivered.

IF YOUR MESSAGE WAS IDENTIFIED AS JUNK MAIL
If you received a notice that the filtering system has quarantined your message, then the message was not delivered to the addressee. If the message is a constituent inquiry or otherwise relates to the conduct of the public business of the City, then please use one of the following options to contact the City.

  • Contact the intended recipient by alternative means including telephone, facsimile, delivery or use of the U.S. mail. If you are in the Houston area you may call 3-1-1 to get the phone number of the intended recipient. If you are outside of the Houston area or are having problems calling the 3-1-1 number, dial 713.837.0311.
  • Fax a copy of the original e-mail message that was quarantined, the notification message stating the e-mail was quarantined, and your contact information to 832.395.9412.
